Best Purchase Order Management Software for Indian Brands (2026)

The best purchase order management software for an Indian brand depends on which POs you mean. For buy-side POs, the orders you send to suppliers and co-packers, most small and mid-size brands are best served by Zoho Inventory or TallyPrime, with Zoho Books, myBillBook and BUSY as lighter options, Odoo, ERPNext, Business Central or SAP Business One when you need a full ERP, and Kissflow or Zycus when procurement approvals need their own suite. For sell-side POs, the orders Blinkit, Zepto, Instamart, DMart and distributors send you, none of the accounting tools we reviewed ingests platform POs; that needs an order-to-cash layer such as FilFlo, which also covers the buy side.

Short answer: pick the buy-side tool that matches your accounting system and team size first. If quick commerce, modern trade or distributor POs are a large share of revenue, add a sell-side layer, or choose one that does both so purchasing is driven by the same stock and demand picture.

Purchase order management for Indian brands

Before you read: FilFlo is our product

FilFlo publishes this guide. It is ranked third, not first, because for pure buy-side purchasing Zoho Inventory and TallyPrime are the more common fits, with published entry prices, and FilFlo is not a procurement suite: it does not offer RFQs, e-auctions or a supplier portal. It ranks where it does because it is the only tool here that runs both procurement POs and channel POs from quick commerce, modern trade and distributors. Other vendors are described from their own product pages, help documents and pricing pages as read in October 2026. Prices exclude GST unless stated.

Key Takeaways

  • "PO management" covers two jobs: POs you send to suppliers and POs customers send you. Most tools are built for one.
  • For buy-side POs, match the tool to your books: Zoho if you are on Zoho, Tally or BUSY if you are on desktop accounting, an ERP if you have outgrown both.
  • Approvals, partial receipts and bill matching separate real PO tools from invoicing apps. Check which plan includes them.
  • Channel POs from Blinkit, Zepto, Instamart and modern trade need intake, cuts, IRN invoicing and GRN reconciliation that accounting tools do not state.

Buy-Side vs Sell-Side POs: Two Different Jobs

A consumer brand handles purchase orders in both directions every day. The documents share a name and almost nothing else:

Buy-side PO (procurement)Sell-side PO (channel)
Who raises itYou, to suppliers, co-packers, packaging and raw-material vendorsYour customer: Blinkit, Zepto, Instamart, DMart, distributors, institutions
Documents that followReceipt or GRN at your warehouse, purchase bill, paymentApproval with cuts, GST invoice with IRN, e-way bill, ASN, customer GRN, credit note
What goes wrongShort receipts, price drift from the rate card, bills without receiptsUnmapped SKUs, wrong GSTIN, missed appointments, GRN shortfalls, deductions
Typical toolsZoho, Tally, BUSY, Odoo, ERPNext, Business Central, SAP Business One, procurement suitesOrder-to-cash layers and OMS platforms with channel PO intake

The two sides meet in your stock. What Blinkit and your distributors order this week decides what you need from suppliers next week, which is why brands with heavy channel volume eventually want both sides reading the same inventory. Our quick commerce order-to-cash guide covers the sell-side lifecycle in depth.

How We Evaluated

We checked each tool for five things: creating POs from supplier and item masters with GST applied; approvals before a PO goes out; receiving against the PO, including partial receipts; converting or matching receipts to bills; and, for brands selling through channels, whether it ingests customer POs. Sources are each vendor's own product pages, help documentation and pricing pages, read in October 2026. A feature is listed only if the vendor states it, and prices are the published list prices on that date, which change often. Ranking reflects fit for a typical Indian consumer brand, not company size.

1. Zoho Inventory: Best Overall for Small and Mid-Size Brands

Zoho Inventory covers purchase orders, purchase receives and vendor payments, with POs drafted from saved items and an audit trail on changes. Receives can be partial or marked in transit and converted to bills, so you only pay for what arrived. The India plan comparison caps POs by plan (20 a month on Free, 300 on Standard, 1,500 on Premium) and adds purchase approvals and a vendor portal from Premium; purchase returns appear only on Enterprise. Pricing is published: Standard is ₹999 and Premium ₹2,299 per organisation a month, billed yearly. Named sales channels are Amazon, Shopify, WooCommerce and similar; quick commerce platforms are not.

Best for: brands that want POs, receiving and bills in one affordable tool, especially on Zoho Books. Not for: brands that need approvals on a lower plan or channel PO intake. See Zoho Inventory vs FilFlo.

2. TallyPrime: Best if Your Books Are in Tally

With order processing switched on, TallyPrime records purchase order vouchers with item, quantity, rate and due date, receipt notes against orders, and rejections back to suppliers. Purchase vouchers pull order and receipt details through tracking numbers, orders can be pre-closed fully or partly, and reports show outstanding orders and goods received without bills. Pricing is published: Silver (single PC) is ₹22,500 lifetime or ₹750 a month, Gold (multi-user) ₹67,500 lifetime or ₹2,250 a month, plus 18% GST. Its browser access is described for viewing business reports.

Best for: brands whose accountants already live in Tally. Not for: teams that want PO approvals or mobile PO entry, neither of which Tally describes.

3. FilFlo: Best for FMCG Brands Running Both Sides

FilFlo is the order-to-cash operations layer for FMCG brands selling through quick commerce, modern trade, general trade distributors, marketplaces, D2C and institutional buyers, and it handles purchasing on the same stock pool. On the buy side it covers procurement POs and supplier records, purchase rate cards per supplier, multi-warehouse purchasing, receiving in parts, purchase returns and supplier debit notes, and production job orders with material BOMs for brands that co-pack or manufacture. Replenishment recommendations from SKU and location demand forecasts turn into POs your team approves and sends to suppliers.

On the sell side it ingests channel POs: Blinkit through a webhook workflow on FilFlo-operated middleware, Zepto as live PO intake with outbound ASN (enabled per account), Swiggy Instamart as a CSV or portal-paste file workflow, and Hyperpure by email. Every channel PO gets SKU-level approval with cuts and reasons, GST invoice with IRN and e-way bill, and GRN reconciliation; modern trade and distributor POs use the same queue. Microsoft Dynamics 365 Finance and Operations connects through a live native API, while Tally and Zoho Books are supported through export formats. Typical onboarding is 2 days; contact for pricing.

Best for: FMCG brands where channel POs drive what gets bought, across several warehouses and GSTINs. Not for: companies that need RFQs, e-auctions, supplier portals or three-way invoice matching, or brands that only raise a few supplier POs a month, where Zoho or Tally is cheaper.

4. Zoho Books: Best for PO Approvals Inside Accounting

Zoho Books lets you draft branded POs from the item catalogue with taxes applied, route them through single- or multi-level approval, record partial receipts and track status through to delivery, then convert a PO into a bill in one click. Purchase order tracking is listed on every plan including Free; purchase approvals start on Professional (₹1,499 per organisation a month, billed yearly) and a self-service vendor portal on Premium (₹2,999).

Best for: brands that want approvals and bills in their accounting software without a separate inventory tool. Not for: multi-warehouse stock control, where Zoho Inventory or an ERP fits better. FilFlo exports to Zoho Books formats.

5. myBillBook: Best Mobile-First Option

myBillBook builds POs from saved supplier, product, pricing and GST details, with CGST, SGST or IGST applied, and states approval workflows with role-based access. It explicitly supports creating, approving and tracking POs away from a desktop, converts approved POs into bills, and updates stock on receipt. Plans are published as low-cost annual subscriptions; confirm the PO feature is on the plan you pick.

Best for: very small teams that buy on the move. Not for: multi-entity, multi-warehouse operations.

6. BUSY: Desktop Accounting for Traders and Distributors

BUSY enables order processing from its inventory configuration, then records purchase orders, pulls pending order items into purchase vouchers, and shows open orders in a pending-orders report. The Standard edition lists purchase order management; the perpetual Standard licence is ₹16,500 plus GST, and the pricing page lists orders under Standard and Enterprise only.

Best for: traders and distributors already on BUSY. Not for: teams needing PO approvals, which BUSY does not describe.

Buying From Suppliers and Selling to Blinkit, DMart and Distributors?

See procurement POs, supplier rate cards and receipts sit next to channel PO intake, IRN invoicing and GRN reconciliation, on one stock pool.

7. Odoo Purchase: Best Modular ERP Option

Odoo Purchase covers RFQs and POs, automated reordering rules, alternative RFQs, blanket orders, calls for tenders and purchase templates. Vendor bills can be controlled by ordered or received quantities, and Odoo documents three-way matching when bill control is set to received quantities. Its One App Free plan covers a single app for unlimited users; adding apps moves you to per-user paid plans.

Best for: brands that want sourcing-style RFQs and matching on an ERP they can grow into. Not for: teams without time for implementation once they go beyond one app. We found no Blinkit, Zepto or Instamart app in the Odoo Apps store.

8. ERPNext: Best Open-Source Option

ERPNext creates POs from material requests or supplier quotations, then purchase receipts and purchase invoices from the PO. Its India Compliance app adds supplier GSTIN and place of supply. ERPNext is open source under GPL-3.0 and can be self-hosted free; Frappe Cloud hosting starts at ₹410 per site a month, not per user.

Best for: brands with someone technical to own setup who want an ERP without per-user fees. Not for: teams that need a vendor to own configuration end to end.

9. Microsoft Dynamics 365 Business Central: The Mid-Market Step Up

Business Central converts purchase quotes to orders, uses POs for partial receipts and drop shipments, supports blanket purchase orders and combined receipts on one invoice, reads vendor invoices with OCR, and offers approval workflows for purchase processes. Microsoft's India page lists Essentials at ₹6,655 and Premium at ₹9,150 per user a month, billed yearly.

Best for: growing brands moving off Tally to a full ERP. Not for: small teams that only need POs. (FilFlo's live API connection is with Dynamics 365 Finance and Operations, a different product.)

10. SAP Business One: SAP for Small and Mid-Size Companies

SAP Business One covers purchase requisitions, purchase orders, goods receipts, returns and document matching, can raise the AP invoice straight from a PO or goods receipt, and its web client handles approval processes. Pricing is by quote.

Best for: mid-size manufacturers and distributors standardising on SAP. Not for: brands that want published pricing or a fast start.

11. Kissflow Procurement Cloud: Approvals and Matching on Top of Your ERP

Kissflow, which has an office in Chennai, runs procurement intake through one request form with budget-aware approval routing, checks budgets and contracts before a PO, raises the PO in your ERP, and runs three-way matching across PO, receipt and invoice with tolerance rules and named exception owners. It lists SAP, Oracle, NetSuite, Dynamics 365 and Sage among supported ERPs. Pricing is by annual agreement.

Best for: companies with many requesters and approval rules. Not for: small brands buying from a handful of suppliers.

12. Zycus: Enterprise Source-to-Pay

Zycus, with offices in Bengaluru, Mumbai and Pune, offers a source-to-pay suite: eSourcing, eProcurement with guided buying, supplier management, a supplier network portal, and accounts payable with touchless invoices and three-way matching, with prebuilt connectors to SAP, Oracle and NetSuite. Pricing is by quote.

Best for: large enterprises with central procurement teams. Not for: mid-size consumer brands.

Vyapar lists purchase orders that can be shared with suppliers and converted to purchase bills, on Android and Windows. Marg ERP generates POs from its re-order management screen using a choice of reorder methods. Procol offers sourcing, e-auctions and a vendor portal for larger buyers, priced by quote. Global suites such as Coupa and SAP Ariba serve enterprise procurement; we could not review their current pages for this guide. How to Choose: Five Questions

  1. Where do your books live? Pick the PO tool that posts cleanly into them, or is them.
  2. Who approves a PO? If the answer is "the founder, on WhatsApp", you need approvals in the tool, and the plan that includes them.
  3. Do suppliers deliver in parts? Partial receipts and bills against receipts stop you paying for goods that never arrived.
  4. How many warehouses and GSTINs? One location suits accounting tools; several push you towards inventory software or an ERP.
  5. How much revenue arrives as customer POs? If Blinkit, Zepto, modern trade or distributors are a large share, plan the sell side too.

Frequently Asked Questions

What is the best purchase order app in India for a small business?

For most small brands, Zoho Inventory or TallyPrime. Zoho Inventory has a free plan (20 purchase orders a month) and paid plans from ₹999 per organisation a month billed yearly, with purchase receives and bill conversion built in. TallyPrime suits businesses whose accounts already run in Tally, with purchase orders, receipt notes and outstanding-order reports. For phone-first teams, myBillBook supports creating, approving and tracking POs on mobile.

Can TallyPrime manage purchase orders?

Yes. With order processing enabled (F12 Configure), TallyPrime records purchase order vouchers with item, quantity, rate and due date, receipt notes against those orders, and rejections back to the supplier. Purchase vouchers pull order and receipt details through tracking numbers, and outstanding-order and pending-bill reports show what is still open. Approval workflows are not part of what Tally describes, and FilFlo supports Tally through export formats rather than a connector.

What is the difference between purchase order management and sales order management?

Purchase order management is the buy side: POs you send to suppliers, co-packers and packaging vendors, followed by receiving, bill matching and payment. Sales order management is the sell side: POs your customers send you, such as Blinkit, Zepto, Instamart, DMart or distributor POs, followed by approval with quantity cuts, GST invoice with IRN and e-way bill, delivery, GRN and credit notes. Most accounting tools handle the buy side well and treat customer POs as manually keyed sales orders.

Which software handles purchase orders from Blinkit, Zepto and DMart?

Accounting tools such as Zoho and Tally do not state any Blinkit, Zepto or Instamart PO intake; those POs become manually keyed sales orders. FilFlo ingests them by platform: Blinkit through a webhook workflow on FilFlo-operated middleware, Zepto as live PO intake with outbound ASN, Instamart as a CSV or portal-paste file workflow, and Hyperpure by email. Modern trade and distributor POs run through the same approval queue. Marketplace OMS platforms such as Unicommerce and EasyEcom also offer quick commerce PO import.

Is there free purchase order software in India?

Yes, with limits. Zoho Inventory's free plan allows 20 purchase orders a month for one user. Zoho Books lists purchase order tracking on its free plan. Odoo's One App Free plan covers a single app, such as Purchase, for unlimited users. ERPNext is open source and free to self-host. Free tiers suit early-stage brands; volume caps and missing approvals are usually what push teams to paid plans.
